You as the Supervisor, can assign users responsible for performing interviews within a specific survey or assign certain surveys for specific persons.
There are two ways you can view and modify the survey assignments; you can use the procedure described below, or you can assign persons and groups directly to the survey you select in the Survey List (go to Adding and Replacing Assignments from the List of Surveys for more information).
1: Viewing and Modifying the Survey Assignments Using the Assignments Tab
- Display the list of surveys in the top right frame by selecting the Surveys object in the left Navigation frame.
- Right-click the row in the grid in the top right frame, which contains details of the required survey, and choose Properties from the shortcut menu, or click the View icon on the toolbar.
- Go to the Assignments tab.
- Select the required persons/groups by checking boxes in the first grid column, or click the required items while holding down the Ctrl or Shift keys on the keyboard to create a multiple selection.
- Click the De-assign icon on the toolbar or right-click any row in the grid and choose Deassign selected... to de-assign the selected persons/groups.
- Click the New icon on the Assignments tab toolbar.
- Check a box in front of the required item and click Add Assignments in the bottom of the window to add a new assignment.
- Click the Replace icon on the Assignments tab toolbar.
- Check a box in front of the required item and click Replace Assignments in the bottom of the window.
- Click OK to confirm replacement.
The survey properties are displayed in the bottom-right frame of the browser window.
Any existing survey assignments are displayed in the grid, otherwise the grid appears empty. The Name column shows a person or a group name, the Type column indicates whether this item represents a person or a group, and the Count column shows the number of particular interviews (within the current survey), which are assigned to this particular person or group. The “Any” value in this column means that this person/group is assigned virtually to any interview that would be conducted within the current survey.
Note: When a call is disabled it is not shown in the Count column.
Click the Reset icon to clear the selection.
The selected persons/groups are removed from the list.
You can also assign persons/groups to this survey. To do this:
The Add Assignments dialog opens.
This contains a list of persons/groups that are available to be assigned to the survey, along with a description and an indication of whether the item represents a person or a group.
The Dial Type drop-down list located above the grid allows you to specify which dial type is allowed for the interviewer when they work with a survey that is run in the TCPA Compliance mode (go to Adding and deleting an interviewer for more information).
The Assignments tab refreshes, and the selected persons/groups appear in the list of the assigned person/groups.
You can replace all existing assignments for the current survey while creating new assignments. To do this:
The replace assignments dialog opens.
This window contains a list of all persons/groups that are available to be assigned to the survey, including those already assigned to the survey. The table displays person/group descriptions and an indication of whether the item represents a person or a group.
A warning message is displayed asking you to confirm the assignment replacement action.
The Assignments tab refreshes and the selected persons/groups appear in the list of the assigned person/groups in place of the previous assignment. This action cannot be reverted.
Note that you can also add or replace assignments directly from the survey list in the top frame with the use of the context menu commands (go to Adding and Replacing Assignments from the List of Surveys for more information).
2: Editing Assignments Using the Edit Assignments Tool
You can manage survey assignments using the Edit Assignments button located on the toolbar of the Assignments survey tab. This feature provides a way to view, update, and copy interviewer and group assignments for your survey project.
2.1: Overview of the Edit Assignments Modal
When you click the Edit Assignments button, a modal appears displaying all current survey assignments in a text list format.
Assignments are listed one per line. You can add, edit, or remove interviewer and group names directly in the list. Use the following syntax:
Use [i] before a name to indicate an individual interviewer.
Use [g] before a name to indicate an interviewer group.
Prefixes are optional but recommended to avoid confusion.
You can also copy and paste assignment lists between projects, making it easier to replicate setup across surveys.
2.2: Confirming Changes
After editing the list, click the Apply button. A confirmation modal appears, summarizing how many assignments will be:
Kept
Added
Removed
If any names do not match existing interviewers or groups, a warning message will appear.
